Human Resources Assistant

Location: Portland, ME

General Description:

The Human Resources Assistant is responsible for supporting the day-to-day operation of Human Resources department. The responsibilities include but are not limited to: assisting with administrative, payroll, and recruitment tasks while providing a high level of customer service to our internal and external customers. 


Responsibilities:

  • Provides administrative and operational support to the Human Resources team.
  • Schedules and coordinates phone screens and interviews for candidates that have been selected by the hiring team.
  • Coordinates employment references, background checks, MVR requests and arranges travel for candidates and new hires.
  • Maintains employee files and the Human Resources filing system.
  • Assists in various payroll tasks which includes but not limited to: entering check requests, distributing PTO reports, printing monthly fleet reports, comparing retirement reports to Human Resources Information System (HRIS), verifying payroll tax deposits and monthly parking deduction reconciliation. 
  • Composes correspondence for the human resources team to include but not limited to interview confirmation emails, offer letters and rejection letters.
  • Collects and compiles data to create and maintain various reports for Human Resources team.
  • Assists with placement of temporary employees. 
  • Maintains contracts of temporary and permanent placement search firms. 
  • Participates in the organization and facilitation of employee events. 

Experience:

  • Bachelor’s degree or an equivalent combination of education and work experience.
  • Analytical and problem solving skills a must.
  • Ability to organize and prioritize assigned work, meet deadlines, and manage multiple tasks, while working in a fast paced environment.
  • Proficiency in or knowledge of using a variety of computer software applications, especially Microsoft Office programs (Word, Excel and PowerPoint).
  • High level of interpersonal skills to handle sensitive and confidential situations and documentation. Ability to maintain a high level of confidentiality. 
  • Excellent verbal communication skills both on the phone and in person.
  • Excellent written communication skills to include grammar, spelling and accuracy.
  • Required to work full-time.
